Why a portal instead of a guest seat
Most project tools let you invite a client as a guest. Guests have to sign up, remember a password, learn your tool's interface and then wade through tasks that were never meant for them. In practice they do it once. Planmoor takes the opposite approach: the client gets a page designed for a client, reachable by a link, with only the things a client needs to know.
What the client sees
- The timeline. Phases, milestones and the current date on a simplified Gantt, with overall progress rolled up from the tasks.
- Milestones with their acceptance criteria and whether each one is done, due or waiting for the client's signature.
- Meetings coming up, with the agenda and a calendar invite they already have in their inbox.
- Documents to sign. The scope of work, change requests, milestone acceptance and UAT certificates, with a button that opens the signing page.
- Status reports published to the portal, so the latest one is always one click away.
- Invoices and retainer usage, including hours used against hours bought on retainer projects.
- Files and comments, in both directions.
What the client does not see
Everything is client-visible by choice, not by default. Internal tasks, time entries, cost rates, the risk register, team comments and anything you have not marked as client-visible stay on your side. Documents appear on the portal only when you send them. The portal shows the shape of the work and the decisions the client owns, which is what keeps them reading it.
Password, rotation and access
A portal link can be open, or protected with a password you choose. You can switch the portal off at any time, or generate a new link so the old one stops working. Portals are excluded from search engines. Nothing on the portal can be edited by the client except their own comments, uploads and signatures.
Always in sync with the plan
The portal reads the live project. Move a task, close a milestone, publish a report or send a document, and the client sees it the next time they open the link. When a signed change request shifts the schedule, the portal timeline moves with it, so the client is never looking at a plan you have already changed.
Intake forms for new requests
Each project can publish a public request form. Anyone on the client side submits a request with the fields you chose, and it lands in the project as a task flagged as a request, ready to estimate, accept or turn into a change request. It is the simplest way to stop requests arriving by text message.

Questions people ask
- Does the client need to create an account?
- No. The portal is a link. You can add a password, and you can turn the link off or rotate it at any time, but the client never signs up and never counts as a seat.
- What can the client see?
- Only what you mark client-visible: the timeline and milestones, meetings, documents and their signature status, status reports, invoices and files. Internal tasks, time entries, costs and the RAID log stay private unless you choose to share them.
- Can the client comment or upload files?
- Yes. Clients can comment on the portal and upload files, and a public intake form lets anyone on the client side submit a request that lands in your project as a task marked as a request.
- Can we brand the portal?
- The Agency plan white-labels the portal with your logo and colour, so the client sees your studio, not Planmoor.
