Planmoor

For consultants

Project management software for consultants, from proposal to signed closure

Consulting is sold on trust and lost on scope. Planmoor gives an independent consultant or small practice the same governance a large firm would bring, without a PMO to run it: a signed scope, a plan the client can follow, change control, and a closure report that proves the work was accepted.

14-day free Pro trial, no card needed. Clients are always free.

Start with a proposal the client signs

Draft the engagement as a proposal: phases, deliverables, fee lines, tax and a date it expires. The client opens it from a link, accepts and signs. That creates the project from the template you chose, raises the deposit invoice and files the signed PDF. The scope you quoted is the scope you track, from the first day.

A plan from a brief, in the client's language

Describe the engagement, pick the delivery country and a methodology, and Planmoor scaffolds the plan: phases with gates, work packages with dependencies, milestones with acceptance criteria, the meetings that go with them, a RACI, a risk register and a draft scope of work. The AI planner is included on paid plans and not metered, so drafting a plan for a pitch costs nothing.

A UK public-sector client sees stages, a PID and highlight reports. A US corporate client sees process groups and a charter. You change one setting; the vocabulary, document pack and gate names follow. Read about PRINCE2 support.

Scope, change and acceptance, signed

  1. 1

    Sign the scope of work

Sent from the project, signed from a link, with timestamp, IP and a content hash in the audit trail.
  2. 2

    Control change

A change request records the delta. When it is signed, tasks shift and the baseline is updated. Unsigned requests sit on the portal as pending so nobody forgets.
  3. 3

    Accept each milestone

A milestone that requires sign-off cannot be closed until its acceptance document is signed. Payment milestones stop being a conversation.
  4. 4

    Close with evidence

The closure report, with performance against the plan and every signature attached, is the last thing the client signs.

One link for the client, one place for you

The client portal shows the live timeline, upcoming meetings with calendar invites already sent, documents waiting for signature, invoices and the latest status report. The client stops asking where things are. You stop writing update emails.

On your side, the Gantt chart shows the critical path and variance against baseline, the board shows this week, and the calendar shows every meeting across every client.

Time, retainers and knowing what you earned

Log time against tasks and let the profitability report compare labour at your cost rate with the fee. Retainer engagements show hours used against hours bought, so the conversation about renewing happens with numbers in front of both of you. The utilisation report tells you whether you have room for one more client this quarter.

Questions people ask

I work alone. Is Planmoor too much tool for one person?
The Free plan is built for exactly that: three active projects, the Gantt, the client portal, calendar invites and five signatures a month, for nothing. Upgrade when a third client arrives.
Can my client see the plan without creating an account?
Yes. The portal is a link. The client opens it, sees the timeline, milestones, meetings and documents to sign, and never needs a password unless you set one.
Does the methodology matter if my client does not care?
Pick the lightest one. Planmoor still gives you phases, milestones and a scope of work to sign; the methodology just decides what they are called and which documents are drafted.
What happens when the scope changes?
Raise a change request with the schedule and cost delta, send it for signature, and when the client signs the affected tasks move and the critical path is recalculated.
