A client portal instead of a status email
Every project gets a portal link you can send to the client. It shows the live timeline, the next milestones, upcoming meetings, documents waiting for their signature, invoices and the latest status report. No account, no password unless you want one, and it stays in sync as the plan changes.

Proposals that become projects when they are signed
Write the proposal in Planmoor with line items, tax and a validity date. The client opens it from a public page, accepts and signs. That one signature creates the project from your chosen template, raises the deposit invoice and files the signed PDF on the project. Nothing is retyped and the plan the client saw is the plan you deliver.
Proposals are numbered sequentially, so your P-0041 is exactly what the client's finance team expects to see on the invoice. More on proposals.
E-signatures for scope, change requests and acceptance
Agencies lose money in the gap between what was agreed and what was delivered. Planmoor closes that gap with signatures that are part of the plan rather than filed away in a folder:
- The scope of work is signed before delivery starts
- A milestone that requires sign-off cannot be closed until its acceptance is signed
- A signed change request with a schedule delta shifts the affected tasks and re-baselines the critical path
- UAT test cases roll up into a UAT certificate the client signs
- Every signature records who signed, when, from which IP, with a hash of the document content

Retainers, time and profitability
Log time against tasks, submit weekly timesheets and approve them. Each person has a cost rate and a bill rate, so the profitability report shows labour cost against the budget or retainer on every project, live, before the month ends. Retainer projects show hours used against hours bought, both to you and on the client portal.
The utilisation report shows each person's logged hours against their weekly capacity, so you know who is overloaded and who has room for the next pitch before you say yes to it.
Status reports the client reads
A status report in Planmoor is assembled, not written from scratch: milestones hit and missed, risks and issues from the RAID log, open change requests, signatures outstanding and the next period's plan. Add a paragraph of narrative, then publish it to the portal or send it as a PDF. On PRINCE2 projects it is called a highlight report and follows that structure. See status reports.

- Do our clients need a Planmoor account?
- No. Clients get a portal link, calendar invites and signing requests by email. They never log in and they never count as a seat.
- Can we put our own brand on the portal and documents?
- Yes. The Agency plan white-labels the client portal, proposals, status reports and signed PDFs with your logo and colour.
- How do retainers work?
- Set the monthly retainer hours and rate on the project. Logged time draws it down, the portal shows the client what is used, and the profitability report shows the margin on each retainer month.
- Is there a minimum number of seats?
- No. One seat is one seat on every plan. A ten-person studio pays for ten seats; a two-person studio pays for two.
